Contact desk
Say who you are. We point you at the right person.
Every message reaches a named person, not a queue. Choosing the right door below saves a forwarding step and, usually, a day.
Visitor
You want to come to the festival
Dates, tickets, accessibility, getting there, what is on. The visitor pages open as each detail is confirmed — until then this inbox answers directly.
Write to hello@coffeefestival.eu
Put this in the first message
- The city and the edition you are asking about
- If you need accessibility information, what you need — not only that you need something
- Your language: German, English or Turkish, and we answer in the same one
What happens next
- A person reads it, usually the same working day
- You get an answer, or a date by which you will have one
- If a detail is not fixed yet we say so, rather than guessing at it

Exhibitor
You want a stand
Start with the application rather than an email: it asks the nine things we would otherwise have to ask you one at a time. Use this address for anything about an application you have already sent.
Write to exhibitors@coffeefestival.eu
Put this in the first message
- Your company, your country, and what you serve or sell in one line
- The reference from your confirmation email, if you already applied
- Roughly how much space you have in mind — an estimate is fine
What happens next
- Your message is matched to your application, so nothing is asked twice
- One named contact takes it from there and stays on it
- Stand information, hall plan and build-up times follow in the partner portal

Partner or sponsor
You want your name on this
Partnership formats, sponsorship, and anything about a partnership already in progress. Formats and budgets are discussed rather than published — what fits a roastery does not fit a bank.
Write to partners@coffeefestival.eu
Put this in the first message
- Your organisation and the markets you are active in
- The kind of visibility you have in mind, even loosely
- Your decision timeline — it changes what is still available
What happens next
- First reply within 24 hours, from someone who can actually decide
- A call if the fit is obvious, a straight no if it is not
- Nothing is announced anywhere before it is agreed in writing

You are on a deadline
Accreditation, interviews, images and figures. Put your deadline in the first line and we will work to it rather than around it.
Write to press@coffeefestival.eu
Put this in the first message
- Outlet, format and intended publication date
- Whether you need images, an interview, or both
- Your deadline — first line, not last paragraph
What happens next
- Messages with a deadline are answered before everything else
- Accreditation is confirmed by email, in your name
- Image material arrives as a download link with its usage terms attached

Supplier & everything else
Production, service, or something that fits nowhere above
Build, logistics, equipment, security, staffing — and anything that simply is not one of the four above. It is read by the same people; it is just not pretending to be a specialist inbox.
Write to hello@coffeefestival.eu
Put this in the first message
- What you supply, in one line
- Where you are based and how far you travel
- A link or a deck — either is fine, neither is required
What happens next
- We keep a supplier list per city and go back to it when the venue is fixed
- You get a reply either way, including a no
- Nothing back within a week means it went astray — write again, we will not mind

Before you write
The questions that come with the questions
Do I have to write before I apply as an exhibitor?
No. The application is the faster route — nine steps, about four minutes — and it goes straight to the person who decides. Write only if something in it does not apply to you.
I already applied. Where do I check the status?
Reply to your confirmation email, or write to the exhibitor address with the reference from it. Once you are confirmed, everything moves into the partner portal and email stops being the place to look.
Can I call instead?
The telephone number goes live with the imprint once the company details are final. Until then email is the only channel we can promise to answer, which is why we would rather not pretend otherwise.
In which languages can I write?
German, English or Turkish. The answer comes back in the language you wrote in. Nothing is machine-translated on the way.
What happens to my message?
It is stored in our mailbox to answer you and to keep the thread readable later. It is not added to any newsletter list, and no marketing follows from it unless you ask for it. The detail is in the privacy notice.
I sent something and heard nothing.
Then it went astray — a filter, a typo in the address, or us. Write again to the general address and say that it is a second attempt. It will not count against you.
Messages are handled as described in the privacy notice. Read the privacy notice
Who answers
Four routes, four responsibilities
So that a message does not sit in the general inbox: beside each route it says who reads it and how long it takes.
Exhibiting
Applications go through the form on the exhibitor page, not by email — that is where the information a decision needs sits together.
Through the form
Press
Images, figures and interview requests. Usually answered the same working day, because editorial desks cannot wait a week.
Same working day
Accessibility
Questions about the grounds go to zugang@coffeefestival.eu and are answered by somebody who knows the floor.
Two working days
Everything else
Partnerships, programme suggestions, follow-ups on what is published. We answer, even when the answer is “not yet”.
Up to three working days
Before you write
Three things we cannot say in advance
Dates, prices and partner names are only settled once the venue is signed — and they are not passed along quietly before that either. Everything else we answer gladly, and as precisely as the current state allows.
Applying instead
If you already know you want to take part, the application is faster than an email: nine steps, about four minutes, and it reaches the right person straight away.
